CARDINAL AUTO / LOAD INTAKE

Supported import sources and templates

Bring vehicle demand into Cardinal Auto from common dispatch sheets, forwarded email attachments, spreadsheets, or copied VIN lists. Every import is reviewed before it creates operational records.

Dispatch sheet upload

PDF, PNG, JPG and WebP. Text PDFs are read directly; scans use OCR and remain in review.

Bulk VIN copy & paste

Paste one VIN per line or spreadsheet columns for VIN, year, make, model and optional weight.

Organization email inbox

Forward a message with dispatch details in its text, supported documents attached, or both. Review the message and attachments together from the tenant-specific inbox.

DOWNLOADABLE FILES

Start with a clean template

Keep the column headings. A load can be imported without a VIN and remains flagged for correction until the VIN is added. Keep invoices and vehicles in their own templates for review.

Email import instructions

  1. Open Create load → Import by email or Settings → Imports & templates and copy your organization’s unique recipient address.
  2. Forward dispatch details in the email body and attach the dispatch sheet, BOL, manifest, CSV, Excel file or image when available.
  3. Open Create load → Import by email, select Review email, check the combined detected route, stops and VIN assignments, then create the draft.

Email text and attachments remain Pending review. Cardinal Auto does not silently create, dispatch, invoice or send a load to QuickBooks from an email.

What happens after import

  1. The source, reference, route, stops, VINs and rate are extracted.
  2. Supported VINs receive available year and manufacturer details automatically.
  3. Duplicate or malformed VINs are identified before saving.
  4. Multi-stop sheets keep every detected stop visible for confirmation.
  5. The dispatcher confirms the customer, locations, rate and units before creating demand.

For a new multiple-unit BOL format, upload the rate confirmation, manifest and BOL together. Cardinal keeps detected pickup and delivery stops visible before you save the draft; send the template so its exact layout can be mapped and verified.
